Herd Hire Damage Policy

Herd has an excess, amount subject to location. A deposit is required, the amount is subject to location.

As discussed, points for off hire process in relation to damage,

  • Vehicle is inspected by the hirer for the condition the vehicle was taken out and signed for. Electronic copy emailed to hirer.
  • Vehicle returned, inspection with the hirer to assess the condition, if no additional damage recorded , document signed to this effect. The deposit will be refunded. Electronic copy emailed to hirer.
  • Vehicle returned, inspection with hirer to assess the condition, if new damage recorded, hirer to sign document. Electronic copy emailed to hirer. At this stage, the deposit paid will be held.
  • If additional damage, the vehicle will remain on hire whilst damage quote is being obtained or if repairs are to be carried out. Cost of hire is discretionary and subject to location.
  • Quote obtained and supplied to the customer. Should the quote be within the excess amount, the hirer is liable, if above the excess amount, hirer is liable for full excess amount. The remainder will be claimed through SDH policy insurance.
  • If vehicle is on hire by customer full comprehensive cover – COI policy (company own insurance) additional damaged recorded, the vehicle will remain on hire whilst the quote is obtained, and repairs carried out. The customer reserves the right to carry out repairs if on COI policy. Must be completed by an approved repairer.
  • Damage caused to overhead of a vehicle (large vans & Luton’s)  is not covered under Herd SDH policy. The hirer is liable for the full value of repairs, as this is negligence. Vehicle will remain on hire whilst repairs are being carried out.
  • Invoice raised.
  • Payment made for damage.

If a third party has collided with a Herd vehicle – the accident MUST be recorded within 24 hours, details exchanged, i.e., Name, number, email, insurance details and imagery of damage to both vehicles. Failing to comply will result in Herd Hirer being fully liable for all repairs.
